Robert Half Finance & Accounting is looking for a Construction Administrator for a client in the western suburbs. The Construction Administrator provides administrative support to the Construction Department. This position is instrumental to processes that support the management of the construction department and maintains relationships with general contractors, builders and subcontractors. Specifically, the position has responsibility for project related commencement tasks, billing, invoicing, A/R management, project close out and other construction related projects.
Essential Duties and Responsibilities:
•Prepare documentation and complete all tasks needed to commence projects on a timely basis
•Complete general contractor prequalification paperwork
•Manage all aspects of contract administration
•Provide any supporting documentation requested by General Contractor (e.g.COI, bonds, CCIP/OCIP, safety manuals both corporate and site specific)
•Coordinate paperwork needed from subcontractors (agreements, COI)
•Ensure project is set up in internal systems
•Ensure underground utility location is completed and maintain database of locator requests
•Drive billing, invoicing, change orders and A/R management to ensure accuracy and timeliness with the goal of improving cash flow
•Prepare and maintain project AIA's to reflect current contract status (including change orders) for monthly billing
•Work with construction management and general contractors to obtain change orders
•Bill all construction projects on a timely basis
•Resolve billing differences/disputes as the arise
•Provide documentation to finance department for recording of sales and invoicing of non-AIA projects
•Obtain and prepare supplier waivers
•Keep up to date on timing of payments and contact general contractor to expedite payment
•Analyze subcontractor billing and expenses to ensure both sales and expenses are properly recorded
•Provide billing to GC's through third party billing systems (e.g. Textura, GCPay)
•Project close outs for Commercial jobs
•Warranty letters
•O&M (Operations & Maintenance) manuals
•Coordinate getting above items from all subcontractors on job
•WIP and Job Costing Experience
•Manage union reporting
•Identify and implement process improvements
•Assist finance with cash flow projections
•General administrative support
•Other duties as assigned
•Bachelor degree with three years experience
•Experience with construction billing, AIA's, lien waivers and change orders
•Proficiency with MS Office - Excel, Word and Outlook
•Extraordinary focus on detail and exceptionally well organized
•Ability to handle multiple simultaneous tasks and meet deadlines
•Solid interpersonal skills
•Familiarity with landscape construction industry preferred
•Experience with Asset accounting system a plus
