Pure Power Engineering is seeking an Administrative Office Lead to oversee a wide range of office support, administrative assistance and marketing tasks for our office in Hoboken, NJ. Pure Power is an engineering firm specializing in designing big, challenging, and high-profile Solar PV systems. As a full-service engineering firm, we create the electrical and structural drawings and calculation packages for bidding, permits, and construction, as well as supporting the lead up to the full engineering drawings, primarily interconnection support and electrical/structural feasibility studies.

Essential Duties and Responsibilities

As a starting point, the Administrative Office Lead will be required to gain a full understanding of the vision, values, and direction of the Pure Power strategy and culture. Then responsibilities shall include, but are not limited to the following:

Office Management

  • Responsible for the day-to-day facilities operations including coordinating with building management maintenance of the office area, purchasing office supplies, business cards and office equipment for the entire staff
  • Coordinate office meetings and events
  • Manage vendor relationships for all office needs
  • Other duties as assigned

Administrative Support

  • Managing overall administrative activities for the office and engineers
  • Provide Executive Assistant support for our President and Leadership team
  • Provide a wide range of administrative support services including schedule/coordinate meetings, answering phone calls, supporting visitors, research, techniques to improve efficiency, organize office resources and file preparation/organization
  • Prepare/draft a variety of correspondence and reports including memos/letters, technical documents, and other forms of correspondence
  • Performing administrative work such as: filing, sorting, distributing mail and shipping
  • We are rolling out Concur Travel
  • Other duties as assigned

Marketing

  • Assist with the development and maintenance of updating content on the company website and internal employee site
  • Social media
  • Sending quarterly newsletter to clients
  • Creation of logos and other graphic design needs
  • Sales and recruiting collateral
  • Other duties as assigned
  • Previous experience as an administrative assistance or office lead
  • Strong computer and Internet skills including all MS Office suite (Word, Excel, Outlook, PowerPoint) required
  • Must be a self-starter with excellent interpersonal and communication skills with a talent for customer service
  • Must be efficient with strong attention to detail
  • Strong skills in organization and planning, demonstrated ability to work independently and exercise sound judgment and problem solving
  • Proven ability to manage projects
  • Ability to prioritize tasks, exercise sound judgment and confidentiality with sensitive information

Preferred Skills

  • Bachelor's degree
  • Marketing experience including experience with graphic design
  • Solar industry or professional services experience

Physical Demands and Work Environment

This position will often require the need to sit for extended periods of time. The employee must occasionally lift and/or move up to 25 pounds.

Location

The role will start 25% remote (work from home) and 75% in the Hoboken Office until COVID clears up. It will then transition into a 100% in our Hoboken Office request. Pure Power is in exciting downtown Hoboken. We are next to public transportation options from NYC and Northern NJ. We also provide a private parking spot for those that wish to drive to the office.
