Essential Duties & Responsibilities •Receptionist on a switchboard with ShoreTel phone system •Distribute incoming mail and faxes •Act as back-up to Facilities Manager •Maintain supply inventories •Greet clients/visitors •Manage on-site reports •Maintain documents for scanning and process into document imaging system •Photocopy projects, as assigned •Perform data entry in conjunction with assistant duties for bond department •Prepare bond documents according to procedures •Mail, fax, or email finished bond product to insured?s and carriers •Maintain accurate and current detail information in the agency management system •Set up and maintain electronic files in accordance with agency procedures •Send bonds to insureds or carriers as requested •Retrieve documents from carrier?s website •Assist bond team with special projects as needed •Order motor vehicle reports as requested •All other duties as assigned Qualifications/Requirements •High school diploma required •Proficient working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook & Publisher) •Must have excellent verbal and written communication skills, be detail oriented, and have the ability to multi-task •Experience answering multi-line telephone system •Must have basic understanding of the Internet •Ability to operate general office equipment (i.e. fax machine, photo copier) •Must be willing to lift, carry and move office equipment •Basic understanding of the Insurance industry is a plus Physical Demands & Work Environment •Work is performed in a professional office environment •This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines •Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions AppleOne is proud to be an Equal Opportunity Employer.
