The Administrative Assistant position is a full-time role that serves as administrative support to the office and VP of Client Services. This includes interacting with several departments and interacting with outsiders for the benefit of the organization. This position is also responsible for the overall office management of the Deerfield location. Essential Duties and Responsibilities include the following. Other duties may be assigned: Answering a multi-line phone, screening calls, taking messages and transferring calls. Greeting clients, customers, and walk-in traffic coming into the office. Typing correspondence and making changes to documents which are in template format. Providing administrative and project support: Copying, Scanning, and Filing of Contracts. Assist with making travel arrangements. Registering for conferences. Monitoring incoming calls. Special projects. Maintaining and publishing employee contact information. Research. Ensuring that sufficient office and kitchen supplies are readily available for team use. Facilitating mail send and delivery for team members. Arranging for supply and desk set up for new employees. Coordinating employee activities. Ensuring the office is fresh and ready for associates. Coordinate with facilities to make sure we are all up to date with vendors and supplies in the office. Qualifications to perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
